WAKE

This policy explains what information Wake Technologies LLC (“we”, “us”) collects when you use WAKE — our field data capture platform, comprising the Android application, the web application at app.wakesuite.com, and this website — and what we do with it.

We have tried to write it in plain language. If anything here is unclear, write to us at [email protected] and we will explain it.

Who controls your information

WAKE is sold to organisations rather than to individuals. That distinction matters for your rights:

  • Survey data — the records, photographs and locations your crews capture — belongs to the organisation that collected it. That organisation decides what is collected and who may see it. We hold and process that data on its behalf, under its instructions.
  • Account information — your name, email address and sign-in credentials — we control directly, because we need it to operate the service and keep it secure.

If you are a crew member or reviewer using WAKE through your employer and you want survey data corrected or removed, ask your organisation first: they control it. If you cannot reach them, contact us and we will help.

Information we collect

Account information

When an account is created we store:

  • Your name and email address
  • Whether your email address has been verified
  • A profile image, if you or your sign-in provider supplies one
  • Your password, stored only as a cryptographic hash — we never store it in a readable form and cannot recover it
  • The organisation you belong to and your role within it
  • The date your account was created and last updated

Information from signing in with Google

If you choose to sign in with Google, Google tells us your name, your email address, whether Google has verified that email address, and your profile picture. We also store the tokens Google issues so that your session works.

We use Google account data only to create and authenticate your WAKE account. We do not read your Gmail, your Google Drive, your contacts or your calendar, and we do not request access to them. We do not use Google user data for advertising, we do not sell it, and we do not transfer it to anyone except as described under “How we share information” below.

Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

You can disconnect WAKE from your Google account at any time through your Google account permissions. Doing so stops future sign-ins; it does not by itself delete your WAKE account, which you can ask us to remove.

Survey data captured in the field

This is the substance of the product. When a crew records a pole, span, pedestal or any other feature, the application captures:

  • Precise location. GPS coordinates for the record, together with an honest indication of how accurate the fix was. Location is collected while the application is in use for the purpose of placing survey records on a map. It is central to the product: a survey record without a location is worthless.
  • Photographs. Images taken through the application, along with their camera metadata, a snapshot of the device orientation at the moment the shutter fired, the time of capture, and a tamper-evident record of where the photograph came from. Photographs are of infrastructure, but a photograph taken in a public street may incidentally include people, vehicles or property.
  • The answers to your survey form and any notes typed by the crew.
  • Who did what, and when — which user captured a record, who reviewed it, what they decided and any note they left.

The application requests location and camera permissions on your device for these purposes. You can refuse or revoke them in your device settings, but capture will not work without them.

Technical information

To keep accounts secure we record the IP address and browser or device identifier associated with each sign-in session, along with when the session was created and when it expires. We use this to keep you signed in, to let you see and end your own sessions, and to investigate suspicious activity.

Enquiries through this website

If you complete the contact form on wakesuite.com we receive the name, email address, company and message you submit, so that we can reply. We use it to answer you and to keep in touch about your enquiry. This website does not use advertising or analytics cookies, and it loads no third-party scripts, fonts or trackers.

How we use information

  • To provide WAKE: syncing captured data, producing exports, running the review workflow
  • To create your account, sign you in and keep your organisation's data separate from every other organisation's
  • To send messages the service depends on, such as email verification and invitations
  • To respond to enquiries and provide support
  • To detect, investigate and prevent abuse, fraud and security incidents
  • To meet our legal obligations

We do not sell your information. We do not share it with advertisers, we do not use it to build advertising profiles, and we do not use the survey data of one customer for the benefit of another.

How we share information

We share information only in these circumstances:

  • Within your organisation. Other members of your organisation can see survey data and the record of who captured and reviewed it, according to the roles and permissions your organisation sets.
  • Service providers who help us operate. We use Resend to deliver transactional email, and Google to provide sign-in if you use it. They may process only what is needed to perform that function.
  • When the law requires it — in response to a valid legal request. Where we are permitted to tell you about such a request, we will.
  • In a business transfer. If the business is sold or merged, information may pass to the acquirer, who would remain bound by this policy until it is properly replaced.

Where information is stored

Information is stored on servers in the United States. If your organisation runs WAKE on its own infrastructure, its survey data is stored wherever that organisation chooses and this section is superseded by the arrangement you have with us.

How long we keep it

  • Survey data is kept for as long as your organisation's account is active, or until your organisation deletes it. Your organisation controls this.
  • Account information is kept while your account exists, and for a short period afterwards so that an accidental deletion can be reversed.
  • Session records expire automatically.
  • Enquiries through this website are kept as ordinary business correspondence while the enquiry is live and for a reasonable period afterwards.

Backups are removed on a rolling schedule, so deleted information can persist in a backup for a short period after it is gone from the live system.

Security

Every organisation's data is isolated from every other organisation's, enforced at the database level rather than only in application code. Traffic is encrypted in transit. Passwords are stored only as cryptographic hashes. Access to production systems is restricted to people who need it.

No system is perfectly secure, and we will not claim otherwise. If we discover a breach affecting your information, we will tell affected customers without undue delay.

Your rights and choices

You may ask us to:

  • Tell you what information we hold about you
  • Give you a copy of it
  • Correct it if it is wrong
  • Delete it, including your account
  • Stop sending you non-essential messages

Write to [email protected] and we will respond within 30 days. We may need to verify who you are before acting. Where the request concerns survey data controlled by your organisation, we will refer you to them or act on their instructions, as the law requires.

Depending on where you live, you may have additional rights under laws such as the GDPR or state privacy laws. We honour those rights where they apply to you.

Deleting your account

To delete your account and the personal information associated with it, email [email protected] from the address on the account, or ask an administrator in your organisation to remove you. Survey data captured by your organisation remains that organisation's record and is deleted on its instruction, not by removing an individual account.

Children

WAKE is a tool for professional field work. It is not directed at children, and we do not knowingly collect information from anyone under 18. If we learn that we have, we will delete it.

Changes to this policy

We will update this page when our practices change, and revise the date at the top. If a change is significant, we will tell affected customers directly rather than relying on you to notice.
